You Can Take Control of Your Company’s Calls

Date November 28, 2008

Incoming calls can be the bread-and-butter of your business. However, they can also be a serious distraction when it comes to incessant telemarketing calls or disruptive calls from clients or customers who like to inquire 20 questions – twenty times a day. While each business has a priority list of callers, they also have their fair share of callers that do not increase staff productivity, including telemarketers, vendors, and high-pressured salesman that tie up the phone lines and rob employees of valuable time.

With the PBX phone system, incoming calls can be handled automatically and efficiently. In utilizing the Call Announce feature, the phone system will require that all incoming callers announce their names prior to the call being transferred to an extension. When a staff member is busy or receives a call from a bothersome vendor, the phone system will prompt the extension holder as to who is on the line. Staff can freely choose how to handle the call each time. They can choose to re-direct the caller to another extension, directly to voicemail, or pick up and answer the call. The decision is in the hand of the extension holder and the caller is none the wiser.

At the discretion of the staff member, calls transferred to voicemail can be retrieved easily at any time. If the call merits importance, it can be returned in a timely manner but at the convenience of the hardworking employee, who doesn’t lose precious work time or reduce productivity. In the event bothersome calls happen repeatedly and become a source of distraction, the specific phone number can be blocked from reaching that particular extension again. It makes it so easy to control and prioritize calls throughout the day, without missing out on any of the most important communications that take place.
